Use Apple Pages’ PDF export to send a fixed copy of a résumé, newsletter or report. Recipients can read the PDF without owning Pages. Keep the .pages document for future corrections; changing its filename extension to .pdf does not convert it.
How Do You Export a Pages Document on Mac?
- Open the document in Pages and choose File → Export To → PDF from the menu bar.
- Set the available PDF options. Choose an image-quality level suited to the document, and include comments or smart annotations only when the recipient needs them.
- Check the password option. A password on the source can carry into the exported copy; decide whether the recipient should need that password.
- Continue with Save, enter a name, choose a destination and finish with Export. Open the PDF from that destination.
A higher image-quality setting normally creates a larger file. For a text résumé, check the portrait or logo if there is one. For a portfolio, inspect the photographs and fine lines before choosing a smaller export. Image descriptions added for accessibility are included in the export; available advanced options also include accessibility tags for large tables.
How Do You Export on iPhone or iPad?
- Open the document. On iPhone, tap the toolbar’s More button; on iPad, use the Actions Menu. Select Export, then PDF.
- Review the options for comments and smart annotations. If a layout-options screen appears, confirm with its Export action.
- Choose Save to Files in the resulting share/save controls, select a folder and save. You can instead choose a sharing destination when you want to send the PDF immediately.
- Locate the saved file in Files and open it to confirm that it is the PDF copy. An original document password also applies to PDF exports on these devices.
Which Export Settings Matter for Your Document?
| Document | Check Before Export | Check in the PDF |
|---|---|---|
| A job application | Keep a short final line from creating an extra page. | Confirm contact details, links and the last page. |
| A classroom handout | Decide whether teacher annotations belong in the student copy. | Look for answer notes or comments that should not be distributed. |
| A product brochure | Use enough image quality for small labels and close viewing. | Zoom in on photographs, prices and thin diagram lines. |
How Do You Fix an Unexpected Export?
- The recipient cannot open it: confirm that you sent the PDF rather than the .pages source. If it requests a password, supply it through your chosen secure channel or create an appropriately unprotected copy.
- Text moved or a font looks wrong: compare the exported page with the source on the device used to export. Fix missing fonts or overflow in Pages, then generate a new PDF.
- The attachment is too large: try a lower image-quality export and compare the result. Keep the higher-quality original rather than repeatedly recompressing one copy.
- A comment is missing or unwanted: revisit the comment/annotation export options. Editing the comment in Pages will not update a PDF already sent.
Can You Convert a Pages File with This Website?
This toolkit does not read the .pages container directly. Export from Pages first. Once you have the PDF, merge it with other PDFs, change page dimensions or, where you have permission and know the password, use Unlock PDF. If you are starting with photos or text instead, see ways to create a PDF.
