Which Source Should You Use to Create a PDF?

Create the PDF from your editable document, image or plain text using the matching route below. Image inputs and browser Word/PowerPoint export produce page images; some text and spreadsheet routes retain selectable text. Choose according to what the recipient needs to read, search or reuse.

Your sourceCreation routeWhat to prepare
Photographs or graphicsImage to PDFPut the images in order, correct their orientation and select page size, fitting and margins.
Photographed paper pagesScan to PDFUse sharp, evenly lit images with all edges visible. Correct perspective in a camera or image editor first.
UTF-8 plain textText to PDFFinish the wording and preserve useful paragraph breaks before pagination.
Modern Word documentWord to PDFUse DOCX and check fonts, page breaks and supported images after browser rendering.
Modern Excel workbookExcel to PDFRecalculate and save formula results, remove unused report areas and choose the worksheet/layout settings.
Modern PowerPoint presentationPowerPoint to PDFUse PPTX and ensure that the static slide appearance contains everything the recipient needs.
Simple saved markupHTML to PDF or Markdown to PDFUse the supported simplified content. These routes do not reproduce an arbitrary live website.

How Do You Build a Readable PDF?

  1. Prepare the source. Correct spelling, orientation and missing content before conversion. For photographed pages, retake blurred images; increasing export resolution cannot recover detail absent from the source.
  2. Open the matching tool. Check its accepted input and processing label. The browser Office routes accept modern DOCX, XLSX and PPTX files up to 25 MB; other routes have their own limits.
  3. Choose the available layout settings. Use the recipient’s required page size where the tool offers it. A4 and US Letter differ, and a wide worksheet may need landscape orientation. HTML/Markdown have a fixed simplified layout rather than the image tools’ paper controls.
  4. Create and open the PDF. Check every page boundary, the smallest text and important symbols. In a workbook report, compare values and column headings with the source.
  5. Finish the packet if needed. Merge checked PDFs, arrange the pages and add page numbers after the content is final. Verify the finished sequence before sending it.

How Should You Handle a Multi-Part Submission?

For example, a two-page letter, a one-page budget and two certificate photographs should make a five-page packet. Convert each source separately, check the letter’s paragraph breaks and the budget total, then merge in that order. If the result has six pages, look for an unintended blank or duplicate cover before adding page numbers.

Keep the editable originals as well as the finished PDF. If the letter changes next week, re-exporting its source is usually more reliable than trying to reconstruct the text and layout from a fixed page. Replace the affected section and verify that the packet’s page numbers and references still agree.

What Should You Check Before Uploading the PDF?

Recipient requirementCheck in the finished file
Maximum file sizeRead the downloaded size. If necessary, try compression and compare the smallest text and images before using the smaller copy.
Searchable textTry selecting or searching for a known phrase. An image-only PDF needs OCR before recognized text is available.
Paper dimensionsOpen document properties or print preview. Confirm the actual page size rather than judging by the browser’s zoom.
Archival conformanceUse the PDF to PDF/A tool to create an image-only archival copy, then check the recipient’s required profile and validation process. Ordinary creation does not establish PDF/A conformance.
Another language or editable formatUse the translation workflow or HWP guide as appropriate; changing a filename cannot change language or document structure.

FAQs

Can I Create a PDF without Installing Office?

Yes. The browser tools can create PDFs from supported images, text, basic markup and modern DOCX, XLSX and PPTX files. Office browser export has documented limitations. Save older Office formats as the corresponding DOCX, XLSX or PPTX format in your source application before using these converters.

Will Text Stay Selectable in Every PDF I Create?

No. Image inputs and browser DOCX/PPTX export create page images. Text and supported XLSX cell output can contain selectable text. Searchability and visual appearance are different properties, so check the actual PDF instead of relying on its filename.

Can I Put Several Photographs on One Page?

The image tools create a page for each selected image and fit it proportionally. For a collage or designed multi-image page, arrange it in an image or document editor first, then convert that prepared source.

Does Creating a PDF Make the Source More Legible?

Conversion cannot restore missing detail from blur, glare or a low-resolution scan. Retake or rescan the source when small text cannot be read. OCR can add recognized text, but the words still need checking against the image.
